Exhibit Policies
- All exhibitor solicitation lists and applications will be reviewed by the committee chair to ensure they meet the standards of the partners. The Healthy Worksite Summit Partners reserve the right to decline
exhibit registration from any organization representing products or services that do not match the mission of the Summit, are deemed to be inappropriate, or do not fall within current industry standards.
- Each exhibitor will be allotted one standard exhibit space, which includes a draped 6 ft table and 2 chairs unless their sponsorship level allows for additional space. All promotional activities must be confined
to the limits of the booth. If the conference facility charges the conference for the use of electricity or internet, the cost of that service will be incurred by the exhibitor.
- An exhibitor may not sublet or divide his/her space without permission of the conference partners.
- In addition to the exhibit space, the exhibitor fee will cover meals, conference attendance and materials. The exhibit fee allows for one exhibitor per space. Additional exhibitors may register for an additional
fee.
- Placement in the exhibit area will be overseen by the exhibit sub-committee and will follow the hierarchy identified in the sponsorship policy for logo placement and exhibit location.
- Each exhibitor is expected to be set up by the start of conference registration the day of the conference and to take down after the last break of the day.
- Each exhibitor is responsible for shipping his/her own material to the conference facility and to secure those materials from the event manager the day of the conference.
- The exhibitor is solely responsible for his/her own exhibit material and should insure the exhibit against loss or damage. All property is understood to remain in the exhibitor’s control in transit to, from and
in the confines of the exhibit area. The Healthy Worksite Summit assumes no responsibility of any kind.
- The exhibitor agrees to accept full responsibility for compliance with local, city and state fire, safety and health ordinances regarding the installation and operation of equipment. All exhibit materials and
equipment may be reasonably located with the booth and protected by safety guards and devices where necessary to prevent personal accident to spectators. Only fireproof materials should be used in displays and the
necessary fire precautions will be the responsibility of the exhibitor.
- Each exhibitor is
responsible for paying their own
parking fee at the conference
facility.
