When will I be able to register for the conference?

Conference registration will open April 18 at 10 am.

What information will I need to register for the conference?

  • *AWC member login ID
  • *AWC member password
  • Credit card for hotel reservations
  • Decide which pre-conference workshop you want to attend (if any)
  • Decide which tours you or your guest want to attend
  • Decide which meal events you want to attend

Will I receive a confirmation of my registration?

For registrations made on-line, confirmation of registration will be sent via email immediately. The confirmation will be sent to the email address shown in the registration section. If you do not receive a confirmation within 2 days, please do not hesitate to call 360-753-4137.

What is the dress code?

Pack plenty of comfortable casual clothes for all workshop sessions and social events.

Is there a registration deadline?

You may register on-line at any time– there is no cut-off date. However, if you register by May 16, 2008 you receive the early discounted rate.

What does my registration fee include?

  • All conference registration packages include a name badge and conference bag.
  • Full conference registration packages include all conference sessions, welcoming reception; Wednesday lunch, Thursday breakfast, Thursday lunch, exhibit reception, Friday breakfast and the Fun Run/Walk.

What is the registration fee if I would like to bring someone?

There is no guest conference registration fee. If a guest wants to attend any of the meal functions or tours they will need to purchase tickets.

Wednesday morning pre-conference workshops require a separate registration fee.

Will I be refunded if I have to cancel my registration?

Registrants unable to attend will receive a refund of the paid registration fee, less a $150 processing charge, provided the cancellation is processed no later than Monday, June 2. No refunds will be given for cancellations processed after June 2.

Hotel Information

How do I make my hotel reservations?

AWC has incorporated hotel room reservations into our registration process to create a one-stop, on-line registration system. To receive the AWC rate at the participating hotels, you must book your hotel room through AWC's on-line registration system.

How do I reserve a hotel room for a person who is not yet registered for the Conference?

You cannot reserve a hotel room for someone who is not registered for the conference.

Why can’t I just call the hotels directly?

You no longer need to call the hotels to book sleeping rooms for the Annual Conference. The hotels with AWC room blocks will not take phone reservations. Those who register early will have first choice of hotels.

Why is the May 16 deadline important?

In order to take advantage of the AWC rates for these hotels, you must make your reservation before Friday, May 16. After that date, AWC will release any unsold rooms at the overflow hotels. AWC will hold the block of rooms at the Red Lion Yakima until the actual conference. If a city official wants to reserve a hotel room after May 16, they must call the overflow hotels themselves to see if there is space available. However, the AWC rate will no longer be available and city officials will have to pay a higher room rate.

Hotel Cancellation

Hotel rooms can be cancelled through AWC with no penalty until June 13. After June 13, AWC will no longer accept cancellations and you must cancel the room directly with the hotel. If the hotel is not able to re-sell the room, you may be charged for the cost of the room.

NOTE: The hotels will not accept phone reservations before May 16. The Red Lion Yakima will not accept phone reservations at all.

Is there a headquarters hotel?

Red Lion Yakima is the headquarter hotel, however all hotels are within a 1/2 mile of the Yakima Convention Center.

What if the hotel I want to stay in is sold out?

Please do not call the hotels directly. If the hotel you want to stay in is sold out, you can contact DeAnn Hartman at deannh@awcnet.org to be placed on the waiting list for that hotel.

How do I make changes to my hotel reservation?

Please do not call the hotels directly. If you have changes to your hotel reservation, please contact Eunice Gonzalez at euniceg@awcnet.org or April Petersen at aprilp@awcnet.org with your changes.
